How should I use AI to summarize a long document without losing important details?

A reliable document summary starts with the intended decision. “Summarize this” encourages a generic overview. Explain who will use the summary, what they need to decide, and which details must not be omitted. A lawyer reviewing obligations, a manager preparing a meeting, and a student revising for an exam need different summaries of the same document.

Ask the AI to map the document before compressing it. Identify the title, author, date, document type, section structure, and any missing or unreadable pages. Then request a section-by-section outline. This catches extraction problems early and gives you a reference for checking whether the final summary ignored a major part.

Define protected details. These may include dates, monetary amounts, parties, obligations, exceptions, assumptions, evidence, disputed statements, and action owners. Tell the model to quote short critical language only where exact wording matters and to include page or section references whenever the source format permits.

Separate summary from interpretation. The summary should describe what the document says. A second section can explain implications, risks, contradictions, or recommended actions. Combining these layers makes it difficult to see where the source ends and the model's judgment begins.

For very long documents, work in stages. Summarize coherent sections, create a structured record of key facts, then produce a final synthesis from those records. Check totals, timelines, and repeated entities across sections. Do not simply join independent summaries; that can preserve local details while missing contradictions across the whole document.

Before relying on the result, sample-check the highest-impact claims against the original. Review every deadline, payment, obligation, exclusion, and recommendation. If the document is confidential, remove unnecessary personal data and confirm the tool's retention and privacy terms before uploading it.
